5 Month Consultancy
The Development & Outreach Department of Human Rights Watch (“HRW”) is seeking highly-qualified applicants for a consultant position to provide professional event planning and production services related to HRW’s 2017 Stockholm Annual Dinner, taking place on 9 May 2017. The consultant will report to the Director of Development and Advocacy in the Development and Outreach Department. This is an approximately five (5) month consultancy, with an anticipated start date in January 2017 through 19 May, 2017. The consultant should be available approximately one (1) day per week from January through May, with full-time availability required the five days preceding, and the one day following, the Annual Dinner.
Responsibilities
In advance of the event:
Work with HRW Stockholm staff to set and maintain a budget and timeline for the 2017 Stockholm Annual Dinner;
Ensure that the event adheres to the agreed budget, timeline and production values; negotiate offers that correspond to or are below the budget allocated and provide updates to HRW staff regularly on progress;
Oversee the event expense tracking process;
Liaise with and manage all vendors involved in the event including, but not limited to, the venue and catering staff, audiovisual, technical staff, events technology company, printer, photographer, and florist, and coordinate meetings as required;
Recruit, brief and oversee volunteers before the event and, in close coordination with the Development and Advocacy Coordinator, on the night of the event;
Devise, update, distribute and implement an onsite logistics plan for the day of the event;
Participate in periodic meetings and ensure regular communications with the respective Stockholm circle of friends, staff and other stakeholders;
Day of the event:
Coordinate front of house and logistics on the day of the event, working closely with the Development and Advocacy Coordinator, to ensure smooth running in accordance with the agreed production schedule and show flow, including, but not limited to overseeing the coordination of check-in, seating, and décor and liaising with the back of house team provided by HRW;
Conduct onsite briefing for volunteers, staff and suppliers as necessary;
Respond to last minute changes with suppliers, volunteers and staff, as needed; and
Post event:
Assist with the post-event evaluation and other follow-up activities which include, but are not limited to: supervising the breakdown of the event venue and the pack up, returning all materials to the HRW office, thanking suppliers and volunteers, providing all the final invoices to the HRW office for payment, arranging transport for HRW staff and volunteers, and participating in the post-event debrief to provide recommendations for future events.
Qualifications
Education: An undergraduate degree in related field is required. An advanced degree is highly desirable.
Experience: A minimum of three years of event planning and organizational experience is required. `
Related Skills and Knowledge:
Excellent oral and written communications skills in both English and Swedish are required.
Proven success in creating and managing fundraising events is required.
Demonstrated experience managing high-level relationships and overseeing large events is required.
Demonstrated commitment to human rights and/or international issues and the capacity to master and represent the mission and programs of HRW are essential.
Creativity, initiative, self-motivation, and follow-through are required.
Demonstrated ability to work well under pressure and handle numerous tasks simultaneously are required.
Excellent organizational, administrative, and interpersonal skills in order to work collaboratively within HRW as well as with local partners are required.
Fee: HRW seeks exceptional applicants and offers competitive compensation commensurate with experience.
Other: Applicants for this consultancy to be able to legally work as a consultant in Sweden for the duration of the contract and hold a tax certificate category F for Independent Contractors.
