Stockholm International Water Institute (SIWI) is now looking for an Event Coordinator Logistics to join the logistics team in organizing World Water Week, the leading annual global event on water and development.
In 2021 World Water Week was held entirely online with over 400 sessions, gathering 500 organizations and more than 9000 participants from 180 countries. Looking ahead, we aim to develop both the on-site and on-line programme, with a digital and a physical venue.
Together with the Senior Manager for overall logistics you will be involved in coordinating all logistical aspects of the on-site conference, such as registration and hotels, venue set-up and AV tech, F&B, exhibition, and on-site staff. You will team with the Digital Event Manager in all features of the event that touches both on-site and on-line.
The role
We are looking for an Event Coordinator Logistics to support the event team under the leadership of the Senior Manager for overall logistics. Together, you will manage the on-site World Water Week throughout the whole process. This is a fixed full-time position, with 6 months’ probation, starting as soon as possible. The job is based at the SIWI offices in Stockholm, Sweden, with an expected office attendance of at least 50% on a weekly basis. Permission to work in Sweden is required.
You will part-taken and share responsibility over all the elements of event planning and management. You will organize all the details for each phase of the event to ensure it runs smoothly. Our ideal candidate has at least three years of on-site event planning experience (preferably +1000 delegates) and has a documented history of coordinating successful events.
Your primary focus will be to coordinate the venue related to logistics and liaison with the Senior Manager for overall logistics and Digital Event Manager in the overall planning and management of World Water Week. Among others; your duties will be to coordinate hotel bookings; enroll and train voluntary assistants; coordinate exhibition and closed meetings sales, invoicing, and planning. You understand that flexibility is key when working with events and you can jump in and support the team, when necessary, with various other tasks, to secure smooth delivery of the entire project.
Under the leadership of Senior Manager for overall logistics of World Water Week & Prizes you will be part of an experienced team of highly skilled professionals responsible for delivering World Water Week, the Stockholm Water Prize and Stockholm Junior Water Prize.

You are passionate about events and strive to exceed expectations. You are a true team player, structured, communicative, and proactive. You have worked in hospitality with events and want to put your planning and organizational skills to use in creating the perfect meeting place for all who want to address the world’s greatest global water challenges. You are:
- Experienced in hospitality, planning, and coordinating all aspects of large events
- Solid teamwork and interpersonal skills and ability to communicate and cooperate effectively with suppliers, convenors, participants, colleagues, and management.
- Have strong sense of customer service and are solution oriented
- Honed planning and administrative skills
- Ability to work independently, proactively and be self-sufficient.
- Ability to simultaneously handle many different tasks and periodically at a high tempo.
- Have experience leading and coordinating on-site staff and voluntary assistants
- Knowledge in agile methodologies is a plus
- Excellent English writing skills (native)
- Structured and timely
